Immigration Legal Administrative Assistant

Our practice is growing! We are looking for a full-time (40 hours/week) immigration legal administrative assistant (case manager) who is eager to work in our boutique immigration, refugee, citizenship, and administrative law firm.

Working in the legal department and reporting to the Director of Case Management and Client Strategy, this role will assist on assigned lawyers’ client matters, including but not limited to processing highly confidential information and seeking additional information where necessary, assisting the lawyers with preparing legal documents and corresponding with immigration authorities, preparing administrative materials for tribunals and courts, and maintaining a high degree of professionalism and liaison with various clients.

DUTIES AND RESPONSIBILITIES:

The successful candidate will be expected to perform the following duties, including but not limited to:

  • Support lawyers with preparing and submitting immigration, citizenship, refugee and administrative law matters, such as temporary residence, permanent residence, citizenship applications and judicial process;
  • Gather, review, organize, and file client documents and forms, ensuring accuracy, completeness, and compliance with applicable requirements;
  • Assist lawyers with drafting and completing immigration forms and preparing draft letters and affidavits
  • Assist with administrative and procedural tasks such as serving and filing tribunal or court documents and preparing ATIP requests, as required;
  • Provide first draft correspondence and first draft of letters to government bodies, tribunals, courts, and other stakeholders for lawyers’ review;
  • Assist with managing client files and internal case management systems, including logging communications and processing/filing incoming correspondence;
  • Assist the lawyers to track deadlines, follow-ups, and lawyer availability using a bring-forward system;
  • At the direction of the lawyers, communicate professionally with clients and third parties, and coordinate services such as interpreters, translators, and couriers;
  • Open and close client matters ensuring compliance with the requirements; and
  • Support client intake process, and other administrative and operational tasks as needed.
  • May be required to perform operational tasks.

OUR IDEAL CANDIDATE:

  • A minimum of one year of working experience in assisting Canadian immigration matters as a legal assistant, paralegal, or case manager
  • Post-secondary degree (required) or higher;
  • Is very organized and detail-oriented;
  • Is a great multi-tasker and problem solver with customer service skills;
  • Ability to work independently and collaborate with others under strict deadlines;
  • Excellent oral and written communication skills in English;
  • Tech-savvy with using Microsoft products;
  • Must be willing to work from our physical offices a minimum of four days a week. The office is accessible by Patterson Skytrain Station and several bus lines. The cost of a monthly transit pass can be reimbursed (if required).
  • Preferred: Has enrolled in or graduated from a recognized paralegal program.
  • Preferred: Knowledge of another language is an asset.

REMUNERATION AND BENEFITS:

  • We intend to offer a salary with a range between CDN $48,000 – CDN $60,000, commensurate with experience.
